AI speed-to-lead caller

The goal

Reach new leads before they go cold.

What I built

• When a lead fills in a web form, n8n validates the email and phone
• The lead's local time is checked so nobody gets called at night
• The lead is locked in GoHighLevel so the same lead is never called twice at once
• Vapi calls the lead in under 30 seconds and books into the client's calendar with live availability checks
• Unanswered leads are retried on a schedule with SMS and voicemail in between, and stop after a max number of attempts
• "Call me later" requests get a callback at exactly that time
• Every outcome is routed and updated in GoHighLevel, and call stats are logged in Airtable
